How to Create an Intentional Wedding Guest List

Now that you’re planning your wedding and finalizing the details that will bring your vision to life, it’s time to consider your community.
Who’s Your Core Crew?
Take deep breaths and start taking notes. Ground yourselves with the following questions:
- Who are the people you want beside you as you celebrate your love? The ones you can’t imagine your wedding without.
- Who’s been part of your journey? Maybe friends introduced you or were part of your story in some way.
- Who do you talk to or hang out with often? Both individually and in partnership.
- Who are the ones who show up during the tough times and the joyful ones?
Whoever comes to mind are part of your inner circle, they’re your core crew of loved ones who are part of your lives in inextricable ways. From there, you can build out your guest list purposefully.
Venue + Budget Restrictions
When finalizing your guest list, you’ll need to consider the venue’s legal capacity, minimum guest count, and your budget. In many cases, these numbers will help you narrow down your guest list before you send out your save-the-dates. You’ll want to follow a few simple guidelines, like limiting plus ones to people you’ve met and those in committed relationships. It’s also important to decide whether children will be invited and have that conversation in advance with your core crew so they can prepare accordingly. Consider the atmosphere of your venue and the overall flow of your wedding day. Some venues are ideal for a more intimate guest experience to help you keep that list aligned with your wedding vision.
Chosen Family vs Family Obligations
Oftentimes, partnerships feel bogged down by obligation especially when it comes to inviting family for milestone events. We know that many struggle with this, especially if their families aren’t supportive or aligned with their core values. Our advice is to talk openly about any estranged relationships, to listen to your intuition and, decide ahead of time, if/when/how compromises will be made and what ground rules must be set. Don’t forget that this is your day and your celebratory space. If there are people in your life who dim your joy, make you feel anxious, or in any way uncomfortable, this is your reminder to prioritize yourselves.
Time flies, especially on wedding days, and what we end up remembering most is ultimately how we feel; so, make sure you do what you can to feel good. The core memory you’ll create with your loved ones will inevitably become a blur so you might as well make it a beautiful one full of love, laughter, and warmth.
Long Distance Loved Ones + Travel Constraints
The distance between us and our loved ones can be challenging. Especially during these financially turbulent times when the cost of travel and lodging has become exorbitantly more expensive.
If they’re not able to attend, consider live streaming your wedding or recording the ceremony for those that can’t be physically present. Check in with your vendor team to see what services they’re able to provide; many of us gained plenty of experience during COVID. Otherwise, ask your community to support you by assigning this task to one of your responsible guests. They can simply video call one or a small group of your crew during your ceremony.
Curated Interests
If you’re planning a wedding that is unique to you in ways that aren’t mainstream, like having a fully-vegan or alcohol-free reception, make sure to invite those who support your vision. No need to stress over those in your community who may have an issue with your vision and can’t seem to be able to keep their discontent to themselves. It’s not their wedding day! It’s yours.
